Guidelines for Chapters
- FORMATION OF A CHAPTER
- A chapter can be formed by at least thirty (30) members of the National PGCA.
- A letter signifying intention to put up a local chapter shall be submitted to the PGCA National Board, together with the requirements set by the Board:
- a duly signed Board Resolution from the Chapter signifying the desire to set up a Chapter, or, in the absence of a Board, the above-mentioned letter of intention duly signed by at least thirty (30) interested members.
- a summarized list of said thirty (30) members, specifying their names, addresses, degrees earned, years of professional experience in the field of guidance and counseling, and the institutional affiliation.
- the specified geographical coverage of the applicant chapter
- A chapter shall adopt a common prefix to its name, e.g. PGCA Baguio, PGCA Iloilo, etc.
- The Chair of the Membership Committee will inform the chapter of the status of the application within a reasonable period of time.
- Upon approval by the National Board, a Chapter must secure its own SEC Registration, BIR permits, and official receipts.
- MEMBERSHIP
- All Chapter members must be members of the National PGCA. But National PGCA Members need not be local chapter members.
- Membership fees, not more than that of the national membership fee, can be determined and collected by the Chapter.
- Chapters should update the Membership Committee on the data regarding their officers and members.
- For a local chapter to renew membership to the National Organization it must be able to conduct one (1) major activity within the fiscal year, assessed as such by the PGCA National Board. Failure to conduct said activity shall mean dropping the chapter from the list of PGCA chapters.
- PROJECTS UNDERTAKEN BY PGCA CHAPTERS
Chapters shall be encouraged to come up with projects to fulfill the Mission, Vision, Goals and Objectives of PGCA.- The chapter shall submit plans of action within two months of the election of their new set of officers.
- National PGCA will decide whether a proposed activity can be accredited for continuing professional education or as a major activity.
- At the conclusion of each activity, the chapter shall submit an accomplishment report, together with the audited financial report.
- At the end of the fiscal year, a summarized list of accomplishments shall be submitted to the National Board.
- FINANCIAL MATTERS
Transparency and openness shall be observed between the Chapter and National Board in financial dealings and reports.- A total of twenty percent (20%) of the net income generated from the Chapter activities shall be submitted to the National Board and deposited in the account opened for the purpose. A copy of the deposit slip shall be submitted to the National Board for proper documentation.
- The chapter is required to submit a financial report for each activity immediately after it is conducted.
- GENERAL ASSEMBLY
Chapters should be represented by their President or their duly designated representative during the General Assembly of the National PGCA.
- PRIVILEGES
- Officers and members of local chapters shall enjoy the right to attend conventions of the National PGCA.
- Local chapters will receive all publications such as journals and newsletters.
- Registration fees are waived for Chapter Presidents' attendance at the National Convention. Special fees are assessed at other National PGCA-sponsored activities.*
- Officers of local chapters who may wish to have a personal copy of journal/s can obtain them at special rates.
